Build a Fixture Schedule Before Selecting Finishes

Create one row for each fixture type and identify every location and quantity. Record whether the item is a chandelier, pendant, wall sconce, ceiling light, table lamp, or custom assembly. Link the row to the relevant plan and detail.

A reference image without an item code, quantity or dimensions is not a complete specification. Use a stable code through design, approval, packing and installation.

Define the Space and Installation Condition

For lobbies and atriums, record ceiling height, fixture envelope, canopy, suspension, floor and railing clearance, sightlines, and access. For guestrooms and corridors, coordinate wall construction, headboards, mirrors, doors, casework and repeated mounting heights.

Identify sloped ceilings, exterior or damp conditions, and any project-specific rating requirements for review. Do not infer suitability from a product photograph.

Specify Visible Materials and Finishes

Name the glass, stone, crystal, metal and visible finish using current product options or approved references. For natural stone and handmade glass, describe the acceptable variation range and the review method.

Coordinate finish direction across related fixture types, but do not assume two materials will match because both are described as gold, clear, white or amber.

Record supply, light source, color temperature, dimming or switching intent, and any driver-location requirements. The project electrician should review compatibility for the selected configuration and local project requirements.

For repeated guestrooms, clarify whether lamps or integrated components must be standardized and how replacement information will be documented.

Mockups, Samples and Approval

Use samples or a representative review when material, finish, scale, or light effect cannot be approved reliably from a screen. State what the sample proves and what may still vary in production.

Record approval against an item code and revision. A general email saying a finish looks good is not enough when several fixtures use similar but different finishes.

Production, Packing and Replacement Planning

Require packing labels that match the fixture schedule and destination area. Keep drawings and installation information accessible to the site team. Inspect deliveries using the item codes before moving components to separate floors or rooms.

For hospitality service, retain finish references, component information and product records. Replacement availability varies, so document the supplied configuration rather than assuming a generic part will match later.
